Customer Service

The UK offers dedicated and professional customer service departments in each of its terminals with many years of experience throughout. They play an active role of ensuring that customer needs are met with particular emphasis on safety, quality and efficiency.

The department is responsible for maintaining stock control, sales invoicing, HM Revenue and Customs issues, vehicle receipt and despatch.

All product movements, sales invoicing and HM Revenue Customs data are maintained in Vopaks ERP systems, where in London is interfaced with the automated truck loading system to facilitate a fast turnaround time.

ERP-to-ERP Connectivity

Adapting industry message exchange standards for the Chemical Industry, Vopak can now receive electronically almost any type of instruction (deliveries, receipts, pipeline movements) covering all modes of transports. In addition Vopak will generate a standardized message after the instruction is being executed, which can be used by the customer for automatic upload in their ERP system. ERP-to-ERP connectivity replaces the communication flow via faxes and/or on-site customer ERP system workstation. Vopak currently has implemented 4 messages enabling instruction automation for inbound (to Vopak terminal) and outbound (from Vopak terminal) product flows, covering all modes of transport. These are the Shipment Instruction, Ship Notice, Ship Notice feedback and Receipt Notice. In the future more type of instructions like tank transfers will be implemented.

In addition Vopak can provide customers with access to MySpace, a real time interactive internet application where customers can go on line and view their stock orders, arrival and despatch times.

E-connectivity

Vopak uses e-business solutions to support its logistics services to customers. Vopak’s e-business offering encompasses our internet based MySpace@Vopak.com
and ERP-to-ERP connectivity to exchange transactional instruction information via digital means, without human intervention.
For the future, Vopak will expand its e-business capabilities by offering web-enabled order entry and by making available more web-enabled reports. E-business solutions are key in delivering high level of service towards our customers. Accurate, timely exchange of information between Vopak and its customers is crucial for the safety, reliability, and reduction of data errors to improve the effectiveness of supply chain operations.
Stock Reporting – MySpace@Vopak
To provide customers with inventory and order visibility, Vopak has developed a secured self service solution called MySpace@Vopak.
MySpace@Vopak provides up-to-date, real time, accurate information 24 hours a day, 7 days a week taken directly from our ERP system regarding:

  • Inventory
  • Orders (status)
  • Calls (arrivals, handling and departures of means of transport)

Customers, having products stored at multiple Vopak Terminals, thereby have complete visibility of the orders and inventory across these terminals. In addition to the information being made available on-line, all information can also be downloaded into Microsoft Excel spreadsheet format for internal use or processing.
